We currently have an Administrative Assistant I/II position open at our Lathrop, CA location.

SUMMARY:
The Administrative Assistant supports the Maintenance Department by maintaining accurate and thorough equipment/parts files and records of repair. This individual is accountable for entering data and preparing reports related to the planning, scheduling, and tracking of work orders. This position requires a high level of professionalism, initiative, discretion, and flexibility along with the ability to work independently with little or no supervision. The Administrative Assistant performs additional administrative and clerical duties as assigned.

Responsible for creating, maintaining, and closing all work orders through JD Edwards. Communicates progress and data related to work orders by running reports for Supervisors, Planners, and Management as required
Maintains current parts list and verifies accuracy with Bill of Materials (BOM). Responsible for data entry and initial system setup for all new equipment and/or parts. Creates parts requisitions as needed.
Supports the Maintenance Planners, Supervisors, and Reliability Engineer by entering, scheduling, and tracking Preventative Maintenance (PM) routines, equipment inspection reports, and general equipment/parts inspections.
Organizes and files Maintenance Department employee records, goal sheets, and safety training rosters. Tracks employee repair activities to include efficiency and accuracy, and arranges Maintenance callout list.
Maintains office equipment and orders office supplies as needed; completes various clerical work to include, but not limited to copying, faxing, filing, etc.
Supports the Joint Apprenticeship Committee (JAC) administratively by preparing accurate bi-weekly meeting agendas and meeting minutes; organizes and maintains JAC electronic files. Coordinates JAC specials events including, but not limited to apprentice graduation, etc.
Assists with planning and coordinating meetings (scheduling, taking minutes, coordinating food service, hotel and transportation reservations, etc.)
Maintains a neat, clean, and organized area (including meeting and break rooms); maintains schedule for meeting room.
High School diploma or GED required, with up to one year of previous administrative experience highly desired.
